Who can see a project

How project access works for owners, admins, members and the people you assign.

Project access in Waypoint is decided by two things: a person's role on the team, and whether they are assigned to the project.

The rule

  • Owners and admins see every project on the team, always. They do not need to be assigned.
  • Members see only the projects they are assigned to.
  • Whoever creates a project is assigned to it automatically, so a member can always see what they created.

Someone who cannot see a project does not know it exists. It is missing from their dashboard, their calendar and their activity feed, and a link to it shows a not-found page.

Assigning people

Open the project and choose Manage members (the people icon in the header). Owners and admins are listed first as always having access. Tick the members who should see the project and save. Only owners and admins can change assignments.

Unticking someone removes their access immediately. Nothing they contributed is removed.

Working with clients and contractors

Invite them to the team as members and assign them only to their projects. They will see those projects in full, including chat, files and the other people on them, and nothing else on the team. Keep internal discussion on a project the client is not assigned to, or in a second project alongside theirs.

Mentions and notifications follow access

You can only @mention people who can see the project, and notifications about a project only go to people who can see it. If someone's name is missing from the mention list, assign them to the project first.
